Vlkslotzi / Field notes

Privacy Policy

A field note should reveal the landscape, not expose the person who sends it.

Effective 7 November 2026. This policy concerns visits to vlkslotzi.com and correspondence sent through its contact form.

When a page is opened

The hosting and delivery systems receive the information needed to serve a request, such as an IP address, browser details, the requested URL and a time of access. Operational logs may be retained under those providers’ security and service settings. They help diagnose faults, respond to abuse and keep pages available.

The journal theme does not add advertising pixels, audience-profiling tools or a newsletter signup. Other software or embedded material may have separate behaviour; the cookie policy explains the relevant distinctions.

When a note is sent

The form asks for a name, email address and message. These are used to read the correspondence, investigate a correction and reply where appropriate. The submitted message is passed to the site administrator by email; the theme does not create a message archive in WordPress.

The receiving mail system may keep the correspondence and backups. We aim to keep identifiable correspondence only while it remains useful for the question, a related dispute or a legal duty, and to remove it when that purpose ends. There is no fixed promise that every backup can be erased immediately.

The small checks at the gate

The form uses a short-lived verification code, a one-time challenge and a request-security token. A challenge hash is kept temporarily in the site database for up to twenty minutes, or until used. A salted hash derived from the connecting IP address is used briefly to limit repeated submissions; the theme does not save the raw address with the message.

These checks support abuse prevention. They are not used to build an advertising profile. Hosting systems may independently record an IP address as part of serving the request.

Type, hosting and delivery

The journal’s font files and theme images are served from this site. Opening them does not require a separate request to a third-party font or image delivery service.

Hosting, caching and email providers process data as part of delivering their services. Data may pass through systems outside the visitor’s country. It is not offered for sale by the journal.

Keep sensitive ground out of correspondence

Please omit exact den locations, coordinates of vulnerable animals, private landowner details and information about children. If a message includes unnecessary personal information, we may remove that material from working notes.

Reading the site does not require a personal account. It is not designed to collect information from children, and a child’s details should not be submitted through the form.

Questions about your information

Use Contact to ask for access, correction or deletion of correspondence, or to raise a privacy concern. Include enough context to locate the message, without sending identification documents. We may need a proportionate identity check before disclosing personal material. Applicable law may also provide rights to object, restrict processing or complain to a data-protection authority.

Where applicable, handling correspondence relies on the legitimate interest in responding to readers, while security processing supports safe operation. Legal duties may require certain records to be retained. This policy will be revised if the way the journal handles information changes.
